Health and Safety and Security Arrangements

for concerts and non-church major events in church.

1

The Vicar/Churchwarden or representative will brief the event organiser in advance.

2

If the organiser is not familiar with the church layout, the Vicar/Churchwarden or representative will meet the organiser at church and ensure that the organiser knows where emergency doors, keys, signs, fire extinguishers etc are situated.

3

At the close of the event, the organiser must ensure the heating is turned off, seating is returned to the positions as on the normal seating plan dated 21 December 2009, lighting switched off and all doors locked.

4

Fire safety arrangements
No highly flammable material permitted
All exit doors and routes to be clearly signed (south porch, west porch, lady chapel and choir vestry). Key for Lady Chapel door is in extreme right hand choir cupboard on long wall opposite the door which gives entry to church.
All exit doors to be unlocked and maintained easily openable from inside
Aisle and exit routes to be kept clear.  (See below for seating plan).
Organiser to be aware of position of fire extinguishers.
Telephone in office off choir vestry to be used to call emergency services.
Instructions to be announced at start of each event (see below for crowd management)

Seating layout and Crowd management/evacuation
The church has normal front facing seating capacity of 207 - please see the normal seating plan dated 21 December 2009.  If the organiser wishes to exceed this for a front facing event, seating must be in accordance with the front facing plan dated 18 February 2010.

If the organiser wishes to have the event in-the-round, the seating plan dated 19 February 2010 must be followed.

the Churchwarden or representative should be consulted.

Whatever the seating arrangement, all aisles and routes must be kept clear.

The organiser should allocate stewards to go directly to each door in an emergency, to ensure that the door is opened. The stewards should stay by each door until the church is evacuated.

The organiser should arrange for one person to be responsible for taking overall control in an emergency. That person should move to the front of the Nave in an emergency and instruct people to remain seated until directed to move (thus giving stewards time to get to exit doors).

People to be requested to assemble by War memorial in High Street (thus keeping church paths clear),

6

Electrical Lighting
Both the entry lights and normal lights to be kept on during events (normal lights may of course be dimmed).   There are automatic secondary lights that are activated in the event of a mains supply failure.

7

First Aid/illness
The first aid box is in the office off the choir vestry on the window ledge.
Telephone to call emergency services is in the same office.

All accidents must be recorded in the accident book located next to the first aid box.

8

Heating
Controls are in the clergy vestry. The Vicar/Churchwarden/representative will confirm heating requirements with the event organiser. In winter it is likely that the heating control will need to be set to “continuous” some time earlier on the day of the event to ensure a comfortable temperature. The Vicar/Churchwarden/representative will make the necessary arrangements.
